Assemble the handover documents
Keep the fence layout, levels, post and foundation details, gate drawings and component schedule under their current revisions. Identify the parties responsible for civil works, installation, electrical interfaces and any specialist commissioning.
Check delivered references against those documents before components are distributed. If a part or drawing differs, resolve the discrepancy before it becomes concealed within the installation.

The record provides fields for location, visible condition, photographs, action ownership and close-out. Set the inspection frequency and acceptance criteria according to the installed system, site conditions and the responsible team's requirements.
Record observations without guessing the cause

A visible check does not establish structural capacity or replace a specified test. Where movement, damage or operation raises a concern, refer it to the responsible competent person and follow the site's arrangements for restricting use.

Keep repair details with the original references
Record the component replaced, reason, date and relevant drawing or part reference. Before substituting a clip, post or gate fitting, check compatibility with the original assembly.
