Read both the result and its limits. A pass recorded without specimen identity or an acceptance criterion is difficult to connect to a purchase.
Follow the chain from requirement to delivery
- Copy the contract requirement into a document register.
- Identify the component or complete system to which it applies.
- Record the report or certificate issuer, reference, issue date and relevant scope.
- Compare the tested or listed construction with the proposed material schedule.
- Link the actual order and batch to the supporting records where traceability is required.
- Record differences and obtain the responsible party's acceptance before release.
For example, a coating report on a flat test panel may help assess a coating process. It does not automatically demonstrate coverage inside a gate hinge recess or compliance of a different substrate. The gap should be described precisely instead of converting the report into a general quality badge.
Verify certification at the issuer
Check the original issuer's register and current certificate, including any scope schedule. The LPCB RedBook Live register is one example for products certified under its schemes. A supplier logo or an image of a certificate is not a substitute for matching the listed manufacturer, product and configuration.
Do not merge two separate approvals to invent a third. A tested fence panel and an independently tested lock do not necessarily establish the rating of a gate assembled from them. Our anti-climb versus certified-system article explains that distinction.
Keep test results and acceptance criteria separate
An illustrative inspection can record five thickness readings of 78, 82, 80, 76 and 84 micrometres, giving an arithmetic mean of 80 micrometres. That mean does not decide acceptance. The applicable specification determines the measurement locations, treatment of individual values and any local or mean requirements.
State the units and measurement method on the record. Retain failures, corrections and repeat checks with their references so that a later clean result does not erase what happened to the part.
